UMail System Junk Mail Handling and Spam Filtering/Rules

The best ways to handle junk email messages are to add the [UCE] (Unsolicited Commercial Email) filtering rules and turn on Junk Mail handling.

Managing Junk Email Lists through Outlook Web Access (OWA)

Outlook Web Access will send junk email to your Junk Email folder automatically; however, there may be some senders or recipients you want to keep from automatically being filed in your Junk Email folder and others you may want to block from your Inbox. Follow the steps below to manage these lists:

  • Click the Options section button.
  • Click Manage Junk Email Lists under Privacy and Junk Email Prevention.
  • Select the list you want to modify. Select Safe Senders to modify the list of addresses you want to accept messages from. Select Safe Recipients to modify the list of distribution lists you are a part of and want to receive email for. Select Blocked Senders to modify the list of addresses you don’t want to receive email from.
  • Click Add to add an address, Edit to edit an address, or Remove to remove an address on the list.
  • Click OK.

Turning on Junk Mail Handling in Outlook 2003

  • On the Actions toolbar, click Junk E-mail.
  • Then select Junk E-mail options.
  • In the bulleted items for Junk and for Adult Content messages, in each of the first lists, click move. When you click move, the second list on each line will change from a list of colors to a list of folder destinations.
  • You can leave the default destination (Junk E-mail), click Deleted Items, or click Other folder and choose or create one.
  • To enable the feature, click Turn On.
  • Repeat steps 3 through 5 for both the Junk and Adult Content lines.

Turning on Junk Mail Handling in Entourage

Go to Tools, then Junk E-mail Protection...



Choose your protection level: None, Low, High or Exclusive. You can also choose to automatically delete old junk messages; check the Delete messages in the Junk E-mail folder older than ___ days box and fill in the number.

 




Enter any "Safe Domains" that you don’t want treated as junk email.

 

Configuring OWA using Internet Explorer

On the Menu toolbar at the left, click Rules.
Then select New ...
In the window that opens, set the Rule Name (optional).
Fill in the Subject contains line with [UCE].
Under Then, select the desired action:

  • Move it to the specified folder - Then click on the specified link and choose the folder where you want junkmail.
    OR
  • Delete it

Then select Save and Close in the upper left hand corner.

Configuring Outlook Express for Windows

You can configure Outlook Express for Windows to check each Email subject line for the inclusion of a spam indicator, and request that any mail with this indicator be placed in a separate Email folder.

In the Tools menu, select Message Rules , then Mail .

In the Message Rules window, click the New button.

In the New Mail Rule window,

  • in the Conditions box, check Where the subject line contains specific words ,
  • in the Actions box, check Move it to the specified folder ,
  • in the Rules Description box, click the contains specific words link.

In the Type Specific Words window,

  • for 'utah.edu' email domain accounts: type [UCE] and click the Add button, or
  • for other Email domain accounts: enter the address or text you want to match.
  • click the OK button.

In the New Mail Rule window, in the Description box, click the specified link.

In the Move window, select Local Folders , then click the New Folder button.

In the New Folder window, type suspected spam for the folder name, then click the OK button.

In the Move window, select your suspected spam folder, then click the OK button.

In the New Mail Rule window,

  • In the Name of the rule box, type subject modification .
  • Click the OK button.

In the Message Rules window, click the OK button.

Configuring Outlook 2003 for Windows

You can configure Outlook to check each Email subject line for the inclusion of a spam indicator, and request that any mail with this indicator be placed in a separate Email folder.

Start Outlook 2003 and select your Inbox .

In the Outlook menubar, select Tools , then select Rules and Alerts... .

In the Rules and Alerts window,

  • Click the New Rule... button.
  • At the top of the window, select the option Start from a blank rule .
  • Select Check messages when they arrive , then click the Next button.
  • Under the heading, Step 1: Select condition(s) , check the option with specific words in the subject .
  • Under the heading, Step 2: Edit the rule description , click the link specific words.

In the Search Text window,

  • Under the heading Specify words or phrases to search for in the subject: for 'utah.edu' email domain accounts: in the box to the right of contains, type [UCE], or
  • for other Email domain accounts: enter the address or text you want to match.
  • Click the Add button.
  • Click the OK button.

In the Rules Wizard window,

  • Click the Next button.
  • Under the heading, Step 1: Select action(s) , check the option move it to the specified folder .
  • Under the heading, Step 2: Edit the rule description , click on the specified link.

In the Rules and Alerts window, click the New... button.

In the Create New Folder window,

  • In the Name: box, type suspected spam
  • Under the heading Select where to place the folder: , make a selection.
  • Click the OK button

In the Rules and Alerts window, click the OK button.

In the Rules Wizard window, click the Finish button.

In the Rules and Alerts window, click the OK button.

Configuring Outlook 2002 for Windows

You can configure Outlook to check each Email subject line for the inclusion of a spam indicator, and request that any mail with this indicator be placed in a separate Email folder.

Start Outlook 2002 and select your Inbox .

In the Outlook main menu , select Tools , then select Rules Wizard .

In the Rules Wizard window,

  • Click the New button.
  • At the top of the window, select the option Start from a blank rule .
  • Select Check messages when they arrive , then click the Next button.
  • Under the heading, Which conditions do you want to check? , check the option with specific words in the subject .
  • Under the heading, Rule description , click the link specific words.

In the Search Text window,

  • Under the heading Specify words or phrases to search for in the subject: for 'utah.edu' email domain accounts: type [UCE], or
  • for other Email domain accounts: enter the address or text you want to match.
  • Click the Add button.
  • Click the OK button.

In the Rules Wizard window,

  • Click the Next button.
  • Under the heading, What do you want to do with this message? , check the option move it to the specified folder .
  • Under the heading, Rule description , click on the specified link.
  • Click the New button.

In the Create New Folder window,

  • In the Name: box, type suspected spam
  • Under the heading Select where to place the folder: , make a selection.
  • Click the OK button

In the Rules Wizard window,

  • Click the OK button.
  • Click the Next button.
  • On the resulting window, click the Next button.
  • Under the heading Please specify a name for this rule: , type subject modification
  • Click the Finish button
  • Close the Rules Wizard window.

Configuring Eudora 6.0 for Mac OS X

You can configure Eudora to check each Email subject line for the inclusion of a spam indicator, and request that any mail with this indicator be placed in a separate Email folder.

Start Eudora 6.0.

In the Eudora menu bar , select Window , then select Filters .

In the Filters window,

  • click the New button,
  • in the Match box, check Incoming ,
  • in the Header box, select Subject: from the pull-down menu,
  • in the line under the Header box, select contains from the pull-down menu,
  • for 'utah.edu' email domain accounts: in the box to the right of contains, type [UCE], or
  • for other Email domain accounts: enter the address or text you want to match.
  • in the Action box, for the first pull-down menu, select Transfer to.

The Choose Mailbox window will display.

In the Eudora menu bar , select Transfer , then select New...

In the New Mailbox window, type suspected spam for the new mailbox name, then click the OK button.

In the Eudora menu bar , select File , then select Close .

When requested to Save changes to filters , click the Save button.

Configuring Eudora 6.0 for Macintosh Classic OS

You can configure Eudora to check each Email subject line for the inclusion of a spam indicator, and request that any mail with this indicator be placed in a separate Email folder.

Start Eudora 6.0.

In the Eudora menu bar , select Window , then select Filters .

In the Filters window,

  • click the New button,
  • in the Match box, check Incoming ,
  • in the Header box, select Subject: from the pull-down menu,
  • in the line under the Header box, select contains from the pull-down menu,
  • for 'utah.edu' email domain accounts: in the box to the right of contains, type [UCE], or
  • for other Email domain accounts: enter the address or text you want to match.
  • in the Action box, select the option Transfer to.

The Choose Mailbox window will display.

In the Eudora menu bar , select Transfer , then select New...

In the New Mailbox window, type suspected spam for the new mailbox name, then click the OK button.

In the main Eudora menu , select File , then select Close .

When requested to Save changes to filters , click the Save button.

Configuring Microsoft Office X Entourage

You can configure Office X Entourage to check each Email subject line for the inclusion of a spam indicator, and request that any mail with this indicator be placed in a separate Email folder.

Start Entourage

In the Folders box, select the Inbox.

In the Entourage menu bar , select File , then New and then Folder .

A new folder called untitled folder will appear.

In the Folders box, select untitled folder , rename to suspected spam , then press the Return key.

In the Entourage menu bar , select Tools , then select Rules .

In the Mail Rules window, select Mail(POP) or Mail(IMAP) , whichever configuration you are using, then click the New button.

In the Define IMAP Rules or Define POP Rules window,

In the Rule Name box, type Subject Line Modification .

In the If box, in the second line,

  • for the first pull-down menu , select Subject ,
  • for the second pull-down menu , select contains
  • for 'utah.edu' email domain accounts: in the box to the right of contains, type [UCE], or
  • for other Email domain accounts: enter the address or text you want to match.

In the Then box,

  • for the first pull-down menu , select Move message ,
  • for the second pull-down menu , navigate to your suspected spam folder.

Click the OK button.

Close the Rules window.

Configuring Outlook Express 5 for Macintosh Classic OS

You can configure Outlook Express to check each Email subject line for the inclusion of a spam indicator, and request that any mail with this indicator be placed in a separate Email folder.

Start Outlook Express

In the Folders box, select the Inbox.

In the Outlook Express menu bar , select File , then New and then Folder .

A new folder called untitled folder will appear.

In the Folders box, select untitled folder , rename to suspected spam , then press the Return key.

In the Outlook Express menu bar , select Tools , then select Rules .

In the Mail Rules window, select Mail(POP) or Mail(IMAP) , whichever configuration you are using, then click the New button.

In the Define IMAP Rules or Define POP Rules window,

In the Rule Name box, type Subject Line Modification .

In the If box, in the second line,

  • for the first pull-down menu , select Subject ,
  • for the second pull-down menu , select contains
  • for 'utah.edu' email domain accounts: in the box to the right of contains, type [UCE], or
  • for other Email domain accounts: enter the address or text you want to match.

In the Then box,

  • for the first pull-down menu , select Move message ,
  • for the second pull-down menu , navigate to your suspected spam folder.

Click the OK button.

Configuring for GroupWise 6.5 local Client

This is how you can create a rule when you are using GroupWise. The rule will apply to all email and will also be working when you use GroupWise through a Web browser (such as Internet Explorer).

Connect to GroupWise

Start up GroupWise in the usual way. These rules apply to your local GroupWise client software. If you are connecting via the Web, please see the GroupWise Web Access instructions (below).

Create a New Folder

  • From the dropdown menus: select File , then New , then Folder
  • Click on the Personal Folder option, select next
  • In the Folder Name box enter a name such as suspected spam , select next
  • Leave default folder settings, select finish

Create a New Rule

  • Select Tools from the drop down menu
  • Select Rules .
  • Select New. . .
  • Enter a rule name - we suggest " suspected spam filter "
  • Verify the " When event is :" is set to " New Item " and items are Received is checked
  • Select " Define Conditions "
  • for 'utah.edu' email domain accounts: Choose from the drop down lists the following entries: Subject Contains[] then type in [UCE], or
  • for other Email domain accounts: Choose from the drop down lists the following entries: Subject Contains[] then enter the address or text you want to match.
  • Then select Add Action, then select Move to folder . . . from the menu
  • Choose your new spam folder from the list available, then select Move
  • Click on save

Configuring for GroupWise WebAccess

This is how you can create a rule when you are using the GroupWise through a Web browser (such as Internet Explorer). The rule will apply to all email and is just the same as if you had created (or edited) it from standard GroupWise access.

Connect to GroupWise

Use your web browser to connect in the usual way.

Create a New Folder

  • Click on the Add Folder option
  • In the Folder Name box enter a name such as suspected spam
  • If you wish, click on a button to indicate where in the list this folder should appear (just a matter of personal taste)
  • Click on OK

Create a New Rule

  • Click on the Options icon on the top row
  • Click on the Rules tab
  • Select Type: to be Move to Folder from the available options
  • Click on the Create button
  • A new window opens: Create Rule - Move to Folder
  • Enter a rule name - we suggest " suspected spam filter "
  • for 'utah.edu' email domain accounts: Choose from the drop down lists the following entries: If Subject Contains /NOWILDCARD [spam ?], or
  • for other Email domain accounts: Choose from the drop down lists the following entries: If Subject Contains then enter the address or text you want to match.
  • Choose a folder from the list available
  • Click on save
