Voicemail - Unified Messaging
Description
When someone leaves you a voice mail message a notification can be sent to an e-mail address. This feature is referred to as e-mwi (Electronic Message Waiting Indicator). Your voice mail messages will be listed along with your e-mails in your e-mail client view.
When voice mail message notifications are deleted or saved from your e-mail the client automatically updates the voice mail server. With this level of synchronization, when you delete voice mail messages from your e-mail client, the message-waiting indicator on your phone set is turned off as well.

Setting Up the
E-Mail Client for IMAP
- Before getting started, you will need the following information
- User Name: your 5 digit telephone extension
- E-mail address: name@department.utah.edu
- Password: your numeric voice mail password
- E-mail server

UMail (Outlook/Exchange): imap.umail.utah.edu
open the voicemail website by clicking the button below or going to this url:

Enter the following:
- User Name: Enter your 5 digit extension number (without the hyphen)
- Password: Enter numeric voice mail password (same password used when retrieving voice mail messages via the telephone)

In the upper left hand corner:
- Click on Mailboxes
- Click on Properties
Your 5 digit extension number will appear in the upper left hand corner
- Password: You have the ability to change your password for voice mail via the web tool. You should enter a numeric voice mail password from 4-7 digits in length. This password is the same password used when retrieving voice mail messages via the telephone.
- If you change the password click on the hourglass/diskette icon to save your settings.

In the upper left hand corner:
- Click on Mailboxes
- Click on Email Settings

Your 5 digit extension number will appear in the upper left hand corner.
Inside the Permissions section on your screen:
- Select Email Client
- Select Client
- Select Speech
- Select Include In Report
Inside the Status After Pop3 section on your screen:
- Select Unheard
Inside the Text to Speech section on your screen:
- Leave the TTS Mode at No
Inside the Downloaded Messages section on your screen:
- Select Add voice attachment
Inside the Send Mail section on your screen:
- Select Send
- Select Voice only
- Address: Enter your e-mail address
Then click on the hourglass/diskette icon to save your settings

In the upper left hand corner:
- Click on Mailboxes
- Click on Email Accounts
Your 5 digit extension number will appear in the upper left hand corner
- Click on IMAP
Inside the Account 1 section enter the following:
- Server: Enter in your e-mail server address
UMail (Outlook/Exchange): imap.umail.utah.edu - User ID:
UMail (Outlook/Exchange): uNID@umail.utah.edu
NOTE: Your uNID is your employee ID number with a lower case "u" in place of the first zero.
- Password: Enter your e-mail client password*
- Click on the box next to Delete Voice
- Synchronize msgs: click on Unseen
- Timeout (seconds): Enter 100
- Click on Verify to make sure the information you entered is correct.
- To save your settings, click on the hourglass/diskette icon
If it is not correct you will receive an error message.
If it is correct you will see "Account 1: SSL Verification successful" in the space to the right of the extension number.
*IMPORTANT INFORMATION REGARDING YOUR E-MAIL CLIENT PASSWORD:
Any time you change your e-mail password in UMail (Outlook) you will need to access this T3 System website (https://voicemail.utah.edu) and record your new e-mail password in the Account 1 section as shown and described above. Be sure to click on verify as indicated above after changing your password.
For HSC employees, your network password is usually synched with your Outlook password. Therefore, if you change your network password, you will need to make this change.
After you have saved your changes by clicking on the hourglass/diskette icon:
- Click on Exit in the upper right hand corner
You are now set up for voice mail message notifications to appear in your e-mail Mailbox.

To listen to your voicemail from your e-mail client:
- Open the voice mail message notification e-mail
- Double click on the attachment icon(this icon will be the default media player installed on your computer) or right click on the icon and select open
- The voice mail will begin playing (be prepared to adjust the volume)
*IMPORTANT INFORMATION REGARDING YOUR UMAIL/OUTLOOK FOLDERS
Your voicemail messages must go into your inbox in order for it to synchronize correctly. Therefore, do not set up any rules to send voicemail to another folder.

An adjustment must be made in Outlook to assure that voicemail messages do not erroneously go to the Junk Mail folder.

From the Toolbar
- Click on Tools then
- Click on Options

In the Options window
- Click on the tab labeled Preferences
- Click on the button labeled Junk E-mail

In the Junk E-mail Options window
- Click on the tab labeled Safe Senders
- Click on the button labeled Add...
- Type @voicemail.utah.edu
- Click on the button labeled OK
After you have completed the above steps you can be assured your Unified Messages will not go into your Junk E-mail folder.

A simple adjustment must be made in Outlook to avoid deleting new/unheard voicemail messages while scrolling through e-mail messages in your Inbox.

From the Toolbar
- Click on Tools then
- Click on Options
In the Options window
- Click on the tab labeled Other
- Click on the button labeled Reading Pane
In the Reading Pane window
- Uncheck the box labeled Mark item as read when selection changes
- Click on OK
After you have completed the above steps you can safely scroll through your list of e-mails and they will not be marked as already read or listened to.
