Verizon audio CONFERENCing

As part of our continuing effort to reduce expenses, OIT would like to announce Verizon Conferencing as its preferred conferencing service provider. Verizon Conferencing is currently available for all of your conferencing needs.

Whether you need to collaborate, exchange information, or give a presentation, Verizon's multi-featured audio conferencing services can help ensure that you meet and exceed your daily business goals.

Verizon Audio Conferencing Options:

Instant Meeting

Applications: One of the quickest and most cost-effective ways to place a conference call is through Instant Meeting. Recommended for small staff meetings, spontaneous events, crisis management, and recurring business meetings that don't require a conference coordinator. It's best to use Instant Meeting for calls up to 20 participants.

Features of Instant Meeting
  • Available 24 hours a day, 7 days a week, 365 days a year.
  • Always the same dial-in number (toll or toll-free)
  • Separate leader and participant passcodes for added security.
  • Same passcodes for all meetings.
  • You pay only for usage on Instant Meeting accounts of fewer than 20 ports. Larger port subscriptions carry a monthly fee in addition to usage (up to 100 ports available).
  • Use the number frequently. At least once within 6 months, otherwise it is purged from the system.
  • Leader control by Instant Meeting Web Moderator at Web Moderator Login.
  • Leader control by touchtone phone commands, listed below.

Unattended

Applications: Participants enter automated Unattended calls by entering a numeric passcode on their telephones. Unattended conferences are recommended for: Small informal meetings, staff or team meetings, meetings that are under 20 participants.

Features of Unattended:
  • Leader and participant passcode for security.
  • Automated bridge service.
  • You may reserve recurring calls.
  • You may request a Toll Free & Toll number.

Standard

Applications: Standard calls are attended by a conference coordinator, who will greet and announce participants as they enter. Recommended for meetings with medium-sized groups over 20, trainings, and project management.

Features of Standard:
  • Leader and participant passcode for security.
  • Operator will greet, announce, and enter participants into the call.
  • Operator is available for assistance when participants press *0.

Premier

Applications: Premier calls are monitored from beginning to end by a senior-level conference coordinator, who also acts as a single point of contact from call planning through call placement. Recommended for executive-level or high visibility meetings, focus groups, press conferences, or other events that require a dedicated Meeting Manager to handle your calls from start to finish.

Reservation Tips

When you contact an OIT Service Coordinator to set up reservations for an Unattended, Standard or Premiere conference call, be prepared to provide the following:

  • Your name and phone number
  • Name of the person leading the meeting and phone number
  • The date, time and approximate length of the meeting
  • The number of participants attending your meeting

NOTE: In order to avoid a no-show charge, please call OIT as soon as possible, but at least 1 hour prior to the scheduled start time of your audio conference to cancel your meeting, unless using “Instant” services.

Audio Conferencing Tips

  • Participants should dial in a few minutes early to ensure calls start on time.
  • Announce yourself prior to speaking.
  • To ensure clear sound quality of your call, speak clearly and avoid side conversations or background noise.
  • Press *6 on your keypad to mute and un-mute your phone.
  • If your meeting has many participants but few speakers, increase the sound quality of your call by using “listen-only” mode.
  • Press “*0” at any time during the call for operator assistance.
